# Spreadsheets vs Scouting Software: What Actually Changes When You Switch

> A spreadsheet is free, flexible and already open. Here is an honest look at what it costs your scouting department, what software changes, and how to move without losing a season of history.

*Nobody chooses a spreadsheet for scouting. It is just what was open when the first report needed a home.*

Spreadsheets are a good place to start. They are free, everyone knows how to use them, and you can add a column in five seconds. Plenty of good scouting has been done in Excel and Google Sheets.

This post is not about whether spreadsheets are bad. It is about what they cost once a department grows, what changes when you move to scouting software, and how to move without losing what you have built. If you are not sure you have outgrown them yet, start with [five signs your department has outgrown spreadsheets](/blog/2026-03-23-5-signs-your-club-has-outgrown-spreadsheets).

## What spreadsheets do well

Be fair to the tool you already have:

- **They cost nothing** beyond software you already pay for.
- **They bend to any process.** New rating scale? Add a column.
- **Everyone can use them** on day one, with no training.
- **They are fine for one scout** following a few dozen players.

If that is you, a spreadsheet may still be the right tool. Do not pay for software to solve a problem you do not have yet.

## What they quietly cost

The cost rarely shows up as a line in the budget. It shows up as time, mistakes and risk.

**Errors that nobody sees.** Research on spreadsheets has found the same thing for decades. Raymond Panko's review of the studies concluded that [spreadsheet errors are "both common and non-trivial"](https://arxiv.org/abs/0802.3457). In scouting, that looks like a rating pasted into the wrong row, or a filter left on that hides half the shortlist.

**One version of the truth, in six files.** Each scout keeps their own copy. The head of recruitment merges them before every meeting. Whoever merged last decides what the club thinks about a player.

**History that walks out of the door.** When a scout leaves, their file, their notes and their context often go with them. Next season starts from zero.

**Personal data with no lock on it.** Scouting reports are personal data about players, many of them minors. Under [GDPR Article 32](https://gdpr-info.eu/art-32-gdpr/), you must keep that data confidential and be able to restore it. A file that is emailed around, downloaded and copied to laptops is hard to control. The cost of getting it wrong is real: in 2024 the Police Service of Northern Ireland was [fined £750,000](https://www.infosecurity-magazine.com/news/psni-750000-data-breach-fine/) after personal data hidden in an Excel spreadsheet was published by mistake.

## What changes with scouting software

The point of software is not more features. It is that the same few things happen every time, without anyone remembering to do them.

| | Spreadsheet | Scouting software |
|---|---|---|
| Where a report lives | A row, a file, or an email | On the player's profile, for everyone with access |
| Several scouts on one player | Separate rows or files, merged by hand | One profile with every report, side by side |
| Data from your providers | A browser tab per provider website | On the player's profile, next to the reports |
| Salary expectations, agent contact | Another column, another file, or a WhatsApp message | Your own fields on the player's profile |
| Who can see what | Whoever has the file | Roles and permissions per person |
| Last season's work | In an old file, if you can find it | Still on the player, searchable |
| Writing at the ground | Hard on a phone | A mobile app built for it |
| Summing up a player | Read every report yourself | An AI summary of all the reports |
| Cost | Free | A subscription, plus time to set up |

The last row matters. Software costs money and a few weeks of change. It pays off when the time your staff spends merging, searching and re-checking files is worth more than the subscription. Look at who you pay for, too: some tools charge for every user, which makes adding regional scouts or giving the coach access expensive.

The other fear is losing the flexibility that made the spreadsheet work. Good scouting software keeps it: your own report templates, your own fields on a player, your own views. If a tool makes you change how your department works to fit its screens, keep looking.

## A quick test

Answer these with your current setup:

1. How long does it take to list every report on one player from the last two seasons?
2. If your most active scout left tomorrow, what would you lose?
3. Who could open your scouting file right now, and would you know if they copied it?
4. How many versions of the shortlist exist this week?

If the answers are "minutes, nothing, only us, one", stay where you are. If they are not, the spreadsheet is already costing you more than it looks.

## How to switch without losing your history

The biggest fear is losing what you have built. It does not have to happen.

1. **Gather every file first.** Ask each scout for their sheets, documents and notes, including old seasons.
2. **Agree on one report template** before you move anything. This is the moment to decide what the club actually wants to know about a player.
3. **Move the history, not just the future.** Old reports are what make the new tool useful from day one.
4. **Run one window in parallel**, then stop updating the spreadsheet. Two live systems is worse than either one.
5. **Keep an export.** Whatever tool you choose, make sure you can get your data back out.

## Where Athleads fits

Athleads replaces the spreadsheet, the WhatsApp group, the email threads and the tab for every data provider's website with one player profile. It holds official Sportmonks data, data from the providers you already subscribe to, every report your scouts have written, and your own fields, such as salary expectations and agent contact. AI summarizes every report on a player, using only your data.

It is built to fit how your department already works: your report templates, your fields and your views, so you keep the flexibility of the spreadsheet without its mess. Scouts write on the web or in the iOS and Android apps.

You pay only for the people who run your scouting, like the head of scouting, their assistant or whoever plans the schedule. Everyone who creates content, from scouts writing reports to youth coaches, joins free, because the more they write, the more your club knows. Viewers are free too, and the price does not depend on which league you play in, so your whole network can join without the bill growing. When a club joins, we move your existing reports, players and shortlists across for you, so you start with your history in place. ## The short version

- Spreadsheets are fine for one scout and a few dozen players.
- They get expensive with a second scout, a second season, or a scout leaving.
- Scouting reports are personal data. Treat access to them seriously.
- Pick software that fits your process and does not charge you for every scout.
- When you switch, bring your history with you.
